Designing Supervisor Coaching for a Healthcare Clinic

  • Training & Development

A coaching program that helps clinic supervisors turn recurring documentation errors into clear, consistent feedback conversations.

The question

The clinic’s front-line employees received feedback when documentation mistakes occurred, yet similar errors kept coming up. How could supervisors make that feedback more useful and follow up consistently?

What the needs analysis found

My approach

A two-hour workshop built around the coaching conversations supervisors actually have on the job. Each performance gap maps to a learning objective, a practice activity, and a way to measure it.

Errors are addressed inconsistentlyIdentify communication breakdowns behind recurring errorsError case discussionKnowledge check
Feedback relies on informal verbal remindersRun a corrective feedback conversation that covers the issue, expectations, and next stepsFacilitated role-playObservation checklist

  2. DescribeState the concern using observable behavior.
  3. Explain impactConnect it to workflow, patient care, or compliance.
  4. ClarifySay what needs to change and confirm understanding.
  5. Invite inputAsk questions and surface barriers.
  6. Set next stepsAgree on actions and a follow-up date.
  7. Follow upDocument the talk, monitor progress, review improvement.

Recommendation or status

Evaluation centers on one question: are supervisors using the feedback process consistently, and is it reducing documentation-related issues? Managers hold weekly check-ins during the first month, and documentation trends get reviewed 60 to 90 days after launch.
